Do you love building a rota that just works?
If you’re the person who can look at a week of visits, carers and travel routes and turn it into something that runs smoothly, we’d love to hear from you.
As our Scheduler, you’ll be at the heart of our office. You’ll know who’s going where, keep clients reassured and give our Care Professionals days that make sense.
Start part time and grow with us. The role is 22.5 hours a week, worked as three full days. We’re happy to agree which days with you. Once you’ve completed your training, the opportunity to move to full time opens up.
Hours: 22.5 hours per week, with a route to full time
Location: Basildon office
Salary: Competitive, depending on experience, plus paid on-call
Contract: Permanent
What you’ll be doing
- Building and maintaining recurring schedules in Birdie, planning 2–4 weeks ahead
- Matching the right Care Professional to each client and arranging introductions
- Planning efficient local runs, so carers spend less time travelling and have fewer gaps in their day
- Calmly managing sickness, holidays, training and last-minute changes, and keeping everyone in the loop
- Working closely with our Care Manager and Recruitment team so new care packages start on time
- Keeping client and Care Professional records accurate and up to date
- Taking part in our on-call rota (one weekend in four and one weekday evening a week)
What’s in it for you
- A route to full time as the business grows
- Paid training, including Home Instead’s national scheduling programme and a structured induction so you’re supported from day one
- 5.6 weeks’ holiday (pro rata), including bank holidays
- Paid on-call on a fair, shared rota, plus mileage and a workplace pension
- Employee Assistance Programme and access to Home Instead staff benefits
- A small, friendly office team, with hands-on owners who are easy to talk to
- Work that matters. Every rota you build helps someone stay safe and happy at home
Essential
- Proven experience in scheduling or rota coordination, ideally in home care. Healthcare or logistics backgrounds are welcome too
- Confident with IT, including Microsoft Office or Google, and quick to learn new systems
- Excellent organisation and attention to detail, and calm under pressure
- Warm, clear communication with clients, families and carers
- Strong interpersonal skills, with the ability to build rapport quickly, handle sensitive conversations with tact and keep good relationships even when plans change
- Able to work on your own initiative and as part of a close team
- Full UK driving licence
Desirable
- Experience using Birdie or another home care scheduling system
- Knowledge of CQC-regulated domiciliary care
- Willing to support with occasional care visits (full training given)
